St. John's Schoolseeks a skilled and highly organized Executive Assistant to provide critical support to the Head of School. This role is essential in ensuring the efficient operation of the Head of School's office, managing daily administrative responsibilities and supporting strategic initiatives and events. The Executive Assistant also serves a key role in enabling the smooth operations of the School's Board of Trustees.
The ideal candidate will possess exceptional communication skills, a high degree of professionalism, and strong project-management skills in a fast-paced educational environment. In addition to relevant experience and a strong educational background, successful candidates must demonstrate a collaborative approach and a commitment to furthering the School's mission.including its strategic initiatives on community and inclusion.
Primary Responsibilities:
Serve as the primary liaison between the Head of School's office and internal/external stakeholders, including faculty, staff, parents, board members, and community members.
Act as the main point of contact between the Board Chair, other Trustees, and the School's administrators.
Coordinate the planning and executing of major school events, board meetings, and special projects.
Organize and coordinate meetings, including preparing agendas and materials, taking minutes, and following up on action items.
Provide support for budget tracking and expense reporting.
Maintain an organized system for records, reports, and files related to the Head of School's office.
Manage the Head of School's calendar, including scheduling appointments and coordinating meetings.
Handle confidential information with integrity and discretion.
Qualifications:
Bachelor's degree
7+ years of experience in an executive support role, ideally in an educational or nonprofit setting
Strong written and verbal communication skills
Excellent organizational, time-management, and multitasking abilities
Proficiency in Microsoft Office Suite and Google Workspace
Professionalism and a collaborative approach to working in a dynamic environment
